Executive Assistant to Chief Sales Officer (EA)

OnRobot is looking for an Executive Assistant (EA) to the Chief Sales Officer (CSO), who will contribute to, and thrive in, a rapid growth environment.

The EA will act as the day-to-day support and right-hand person of the Chief Sales Officer. The key to success in this role is being able to take responsibility for a wide range of tasks, ranging from classic administrative tasks to HR and sales operations related tasks. The main office for OnRobot is located in Odense, Denmark, and this will be the main working location for the EA. Some travel may be required.


Establishing the Support Role to the Chief Sales Officer

OnRobot is a dynamic company with a bold vision to define and own the market for Collaborative Applications. You will be part of a team of highly motivated employees, who are focused on the expansion of OnRobot globally. Today, OnRobot has seven sales regions across the World, which are building out their sales teams and growing sales. The General Managers in the regions have broad responsibilities for running the local businesses, and the EA to the CSO will be a central go-to for the team. The EA role will be a key contributor to successfully growing the sales teams and enabling effective execution.

The EA will have a broad and varied set of responsibilities ranging from administrative tasks to business related tasks. The successful candidate is an effective administrator, capable of managing the busy calendar of a sales executive. The candidate will also be a trusted and close partner in day-to-day work of the CSO. It is key that the EA builds a strong internal network and navigates professionally in an external network. Strong communication skills are required. The successful candidate will also have business insight and the ability to provide, understand and validate business data and reporting.


Key Tasks and Success Criteria

  • Follow-up on dead lines and reporting; validate reports before handing over
  • Build reporting templates
  • Facilitate planning and budgeting process and tracking
  • Plan and host customer and stake holder visits to HQ
  • Organise partner events
  • Support in planning fairs and exhibitions and the team’s participation
  • Coordinate sales meetings; support in building agenda
  • Support CSO on creating presentations
  • Extract reports from ERP system; present data as required
  • Support and coordinate on-boarding process for the team
  • Establish easy-access filing system for sales materials
  • Manage and prioritise calendar, travel, PR activities and appointments
  • Take minutes during meetings
  • Provide support on HR related matters such as employment contracts
  • Expense submission
  • Other tasks as required


Professional profile: Experienced and highly motivated with business acumen

You take responsibility, are motivated and good at prioritising. You do not shy away from hard work, enjoy new challenges and finding answers and solutions. You understand that this job may require a level of flexibility in working hours as the organisation is global, and team members may need support outside of standard hours from time to time. Likewise, the CSO’s travel schedule may also require out-of-hours availability of the EA. You take pride in the success of your team. You have high integrity and can be trusted with confidential information. You communicate well with colleagues, as well as represent the company professionally to customers and external contacts. You have a back ground or good understanding of business management and HR. You can effectively support the team in these areas. You understand the CSO’s priorities and can act as a delegate. Over time, you become a trusted, right-hand person to the CSO.

The main place of work will be the OnRobot office in Odense. You may be required to travel from time to time.

You speak English fluently and other languages are a benefit.
